The Sales Executive position for Explorica Inc. is responsible for the selling of educational tours for students. Depending on office location an SE may have a designated region, where he/she must maintain competitive sales numbers and call time. The SE is responsible for ensuring customer satisfaction from start to finish. Working with the Sales Manager or Director, each SE is responsible for achieving sales goals by soliciting past business and prospecting new business.

Regional Supervisor USA and ROW, Tour Director Department
Position Summary
This is a position in our Explorica Educational Tours division in Boston responsible for coordinating and supervising all Tour Directors in the USA and ROW. You will be responsible for recruitment, allocations, training and organizing the training of tour directors in your area, reporting to Tour Director Manager NA and ROW.
Responsibilities
- Recruits and trains tour directors both in assigned areas as noted above as well as other regional areas as requested. Coordinates the search for new Tour Directors if and when required during the season. Ensures all employment related information concerning TDs is up to date for file. Ensures all agreements and Criminal records have been collected for final employment approval.
- Keeps tour directors updated with all materials, company developments and updates. Develops needed product information to support sales staff and Tour Directors or Guides(Route notes, TD materials, TD exchange) Consistently ensures that all related departments including tour directors are regularly informed of any process or procedure changes.
- Conducts tour director phone or in person reviews weekly during the season and at end of season to ensure quality control of tour directors. Responds to negative review feedback by conducting terminations if company standards are not met. Monitors and improves Tour Director ratings by consistently following up with both negative and positive feedback.
- Maintains working relationship with Tour Directors throughout the year so that a pipeline is secured for future tour needs. Maintains and develops database of tour directors.
- Allocates tour directors to all tours both in assigned regions and other areas as requested to maintain appropriate tour coverage. May be asked to provide emergency support during non office hours to ensure all tour emergencies are dealt with in a professional and efficient manner.
- Organizes training weekends and coordinates all logistics with the operations staff to ensure efficiency and communication. Coordinates and implements tour director meetings and parties in assigned area.
- Supervises any temporary staff that assists in the tour director department.
- Ensures that the Tour Diary and Tour Director accounts are up to date and maintained to ensure correct information and efficiency.
- Maintains budgets for Tour Director materials, travel and overnights to ensure all budgetary requirements are met. Reports weekly on allocations, recruitment and training to Tour Director Manager NA and ROW Department. Participates in collection of previous year tour data for budgets in November and May each year to determine cost per tour. Assists manager with the negotiation of material costs for the Tour Directors and Tour Diary equipment costs.
- Collects and logs competitor information for area so to ensure competitive advantage with regards to our Tour Directors. Reviews salary, commission structure, bonuses if offered by competitors so that we can stay in market with our TDs.
- Assumes additional responsibilities as requested.
Requirements
- A bachelor’s degree in a related field preferred.
- A minimum of three years progressive industry experience with a solid understanding of the student travel industry.
- Solid experience working with group tour operators.
- Attention to detail and ability to track and document multiple projects simultaneously
- Strong communication and presentation skills including the ability to work with all levels of employees.
- Proficient computer skills and the ability to learn new software products a must.
- Ability to travel to attend workshops, job fairs,& training weekends
- Ability to multi-task projects and responsibilities and strong prioritization skills.
- This position involves travel and requires some weekend work.

We’re currently looking to fill a Sales Associate (SA) position. In this position, you provide hands-on essential and integrated administrative support throughout the sales process by teaming with Sales Executives (SE) to support teachers’ needs. The SA has on-going communication with a number of teachers within a select region or group of SEs. The SA will take a proactive approach to service all teacher needs during critical periods (parent meetings, service calls on excursions and group merchandise, and pre-departure). The SAs will act as back-up for SEs and report to Sales Manager/Team Lead within the assigned sales group.
Responsibilities
• Answers and troubleshoots incoming service calls and emails; ensuring superior customer service, accuracy & timely responses, and creative solutions when needed
• Works closely with Sales Executive to ensure group leaders and their groups are totally prepared to travel with appropriate information as well as handling any last minute requests
• Provides proactive communications and takes the initiative to contact group leaders, anticipate or exceed group leader needs, and provide back-up for SE
• Contacts the teachers, in a timely matter, to provide and collect proper information necessary for the planning tour
• Follows up with weekly reports of balances and credits for teachers and their participants
• Follows up on sales leads with promotional materials via mail and email
• Creates promotion materials such as Power Point presentations, custom itineraries, competition comparisons and posters for use in presentation of tours to prospective clients. Works with Marketing, Product Development and other departments, as applicable, to improve upon existing materials to maximize effectiveness
• Coordinates and verifies the receipt of train and plane tickets for scheduled travelers
• Responds to all inquiries originating from conventions; these include interest forms, sign-ups, as well as participant payments
• Initiates out-going services calls on enhancing tour with relevant excursions, group merchandise, and GL itinerary
• Enters traveler information into online registration system
• Assists in implementing sales strategies as set by the Sales Managers, including strategies for encouraging repeat business with our VIP program, new business development and up-selling insurance. Also liaises with VIP clients
• Provides input and ideas into marketing initiatives and subsequently promotes these initiatives and monitors responses
• Coordinates the administrative documentation in sales tracking system
• Updates internal intranet system, Wiki, with new sales information
• As required, collates, stamps and delivers all incoming/outgoing mail
• As requested, provides ad hoc project assistance
• As needed, assists with incoming customer service calls
• As needed, handles transactions and fields questions from travelers regarding payments
Qualifications for this position include a bachelor degree or equivalent work experience and a minimum of one year office support experience. Strong attention to detail as well as the ability to multi-task and work with all levels of employees and customers in a diplomatic and professional manner is required. Computer proficiency and the ability to learn new software products is essential.

Accountant
Position Summary:
The Accountant will be working in an International Finance department, working with daily financial processes and month end reporting. This position is located in Boston and reports to the Senior Accountant.
Responsibilities:
• Responsible for monthly close duties as assigned, ranging from posting journal entries to preparing reconciliations
• Accounts receivable entry and payment processing
• Accounts payable entry and payment processing
• Responsible for check reconciliations
• Prepare Forms 1099 and Canadian T4A
• Perform account analysis to assist in management review of monthly financial statements
• Assist with audits of company information or other projects by retrieving supporting documentation from the accounting records
Requirements:
• Bachelor degree in Accounting
• Minimum 1 to 3 years in an accounting role
• Computer Knowledge: Accounting systems (Great Plains preferred), Excel and Word
• Detail oriented with a high degree of accuracy
• Possesses strong written and verbal communication skills
